Your Business Shouldn't Depend on One Person

When you're the founder, you carry everything in your head. You know how to handle a difficult client, how to onboard a new hire, how to respond to a refund request, and how to close a deal — because you've done it a hundred times. But that knowledge lives only in you.

The moment you hire a second employee, bring on a contractor, or try to take a week off, the cracks appear. Things get done differently. Quality becomes inconsistent. Customers notice. You spend more time fixing mistakes than growing the business.

BosonHub helps you take what's in your head and put it on paper — in clear, usable systems that your team can follow and your business can scale on.

What We Help You Build

SOP Writing & Process Documentation

We interview you, observe your workflows, and write Standard Operating Procedures that document exactly how your business handles its most important tasks — from client onboarding to complaint resolution to daily operations.

Best for: Businesses hiring their first employees, or any owner who wants to step back from day-to-day operations.

Workflow Design & Optimization

Before you automate anything, you need to know what you're automating. We map your current workflows, identify bottlenecks and redundancies, and redesign the process so it's clean, logical, and ready to be handed off — to a person or a system.

Best for: Businesses that feel like they're always putting out fires, or teams where "how we do things" varies by person.

Business Systems Consulting

Sometimes you don't need a new tool — you need a clearer picture of how your business operates. We audit your existing systems, identify gaps, and build a practical roadmap for getting more organized and more efficient.

Best for: Owners who feel overwhelmed, or businesses preparing for growth, a new hire, or an eventual sale.

Training Documentation & Onboarding Materials

We turn your SOPs and workflows into training materials your new hires can actually use — step-by-step guides, checklists, quick-reference cards, and onboarding sequences that cut training time and reduce costly mistakes.

Best for: Businesses with growing teams, high turnover, or anyone tired of training the same things over and over.

We Understand Family Business

Stephen comes from a family business and has been working with family-owned companies since he first built his family's website in 2008. That experience — navigating the Great Recession, COVID, and the everyday dynamics that come with working alongside the people you love — shapes how BosonHub approaches every consulting engagement.

In a family business, the stakes are different. Role clarity is harder when titles and relationships overlap. Succession planning is personal. Documenting "how we do things" can feel like questioning the way things have always been done. Getting buy-in from a family member requires a different conversation than getting buy-in from an employee.

We work with family businesses with the patience and respect that dynamic deserves — helping you build systems that protect the business without disrupting the relationships that built it.

Where Consulting Fits in the BosonHub Ecosystem

Business consulting is the foundation that makes everything else work better. Before you automate a broken process, you need to fix the process. Before you implement a CRM, you need to know how your sales workflow actually runs. Before you add AI to your operations, you need documented systems for AI to follow.

This is why we often start consulting engagements before — or alongside — our marketing automation and AI work. Each phase builds on the last, and each one is available as a standalone service if that's where you are right now.

Step 1

Step 2

Our Process

01

Discovery

We start with a free 30-minute consultation to understand your business, your team, and where things are breaking down. We ask a lot of questions — about how you currently handle key tasks, where you rely on memory instead of documentation, and what would change if your systems were cleaner. No pressure, no pitch — just a real conversation.

02

Map & Document

We map your workflows, identify the processes that need documentation first, and write clear, usable SOPs in plain language. We work in whatever format fits your team — Google Docs, a shared drive, a PDF library, or whatever system you already use.

03

Review, Refine & Hand Off

We walk through every document with you, incorporate your feedback, and deliver a final package your team can use from day one. We stay available for questions and can return to update documentation as your business evolves.

Who This Is For

The Solo Operator

You're doing everything yourself and you're good at it — but you know that can't scale. You want to document what you do before you hire someone, so you're not starting from scratch every time.

The Growing Team

You've hired a few people but everyone does things a little differently. Quality is inconsistent and training takes too long. You need written systems your whole team can follow.

The Established Business

You've been running for years and things mostly work — but they work because of you. You want to step back, take a vacation, or eventually sell, and you need your business to run without you in the room.

The Family Business

You're running a business where the people involved are also family. Roles overlap, history runs deep, and "the way we've always done it" is a real force. You need systems that bring clarity without disrupting the relationships that built the business.

We'll Always Set You Up for Success

Whether we work together for years or just have a free 30-minute introductory call, you'll leave with more clarity than you came in with. That's a promise we make to every person who reaches out.

And if we're not the right fit for what you need — whether it's outside our scope, a better match for a specialist, or simply not the right time — we'll tell you honestly. We've built a network of trusted local businesses and service providers specifically so we can connect you with the right person.

Business Consulting FAQs

Q: Why do I need SOPs? Can't I just train people verbally?
Verbal training works until it doesn’t. The moment you hire a second person, take a vacation, or have a key employee leave, the gaps in undocumented processes become very visible — and expensive. SOPs aren’t about distrust; they’re about consistency. A well-written SOP means every customer gets the same experience, every new hire gets the same training, and you’re not the only person who knows how things work. It also protects you legally and makes your business significantly more valuable if you ever want to sell.
Q: How long have you been doing this kind of consulting work?
Stephen has been working with small and family businesses since 2008, when he first built his family’s business website and began helping them navigate their operations. Much of what BosonHub knows about SOP writing and business systems came from real-world experience — surviving the Great Recession, adapting through COVID, and working through the unique dynamics of a family-owned business. Stephen also serves as a Senior Instructor in business at Oregon State University, where he’s constantly learning, teaching, and applying the latest thinking in business operations. This depth is brought to every client engagement.
Q: What kinds of businesses do you work with?
We’ve worked with businesses just getting started (helping founders document their processes before they hire anyone), mature businesses that have been running for decades, family-owned companies navigating succession and role clarity, and even other web development agencies getting established. If you run a small or mid-size business and feel like things could be more organized, more consistent, or less dependent on one person, we can probably help.
Q: How is this different from your Marketing Automation & CRM service?
Marketing Automation is about specific tools — HubSpot, Zoho, Zapier — and automating your marketing and sales pipeline. Business Consulting & Systems is about the human side of your business: how your team operates, how decisions get made, how tasks get handed off, and how new people get trained. The two services often work together — you need clean, documented processes before automation can work well — but Business Consulting is tool-agnostic. We’re not setting up software; we’re helping you think clearly about how your business runs.
Q: What does a typical engagement look like?
It starts with a free 30-minute consultation where we get to know your business and identify where the biggest gaps are. From there, engagements vary — some clients need a single SOP for one critical process; others want a full documentation project covering every major workflow. We scope each project individually based on what you actually need, not a one-size-fits-all package. We’ll give you a clear picture of what’s involved and what it will cost before any work begins.
Q: Do I need to have my processes figured out before we start?
Not at all — that’s part of what we do. Many of our clients come to us with a vague sense that “things could be more organized” but no clear picture of where to start. We help you identify which processes matter most, which ones are causing the most friction, and which ones need to be documented first. You don’t need to have it figured out. You just need to be willing to talk through how your business actually works.
Q: What if you're not the right fit for what I need?

We’ll tell you — and we’ll try to connect you with someone who is. We’ve built a network of trusted local businesses and service providers across many industries, and we’d rather make a good referral than take on work that isn’t the right match. Whether we work together for years or just have one conversation, we’ll always try to leave you better off than when we started. See our trusted partners and referrals at bosonhub.com/our-partners/.
